Most people don't have one email address any more. There's the personal one, the work one, maybe a school or side-project address, and an old account that still gets the important receipts. On a Mac there are three common ways to keep up with all of them. None is wrong; they just suit different people.
Option 1: browser tabs and profiles
Open each account's webmail in its own tab, or in its own browser profile when two accounts come from the same provider.
Good
- Nothing to install
- Every webmail feature, exactly as the provider made it
Not so good
- One tab or profile per account
- Notifications only while the tab stays open
- No single list of everything that's new
Option 2: Apple Mail
Apple Mail comes with every Mac and can hold several accounts, with a unified inbox across them. It's a sound choice, especially if most of your mail is on iCloud.
Good
- Free and already on your Mac
- Works closely with the rest of macOS
Not so good
- Adding some providers takes extra steps
- No built-in AI drafts or one-click sign-in codes
We compare the two in detail in GotEmail vs Apple Mail.
Option 3: a unified mail app like GotEmail
A dedicated mail app built around several accounts. GotEmail puts every address in one window, with an All Inboxes list across all of them, and talks to each provider directly from your Mac.
Good
- Every account side by side, set up in minutes
- Labels, Starred and Show Unread across accounts
- Sign-in codes copied in one click, AI drafts and summaries
Not so good
- A paid app
- Mac only for now
Set up all your accounts in GotEmail
- Add your first account. Choose Add Account and pick your provider. Outlook and Microsoft 365 sign in on Microsoft's own page; Gmail, iCloud, Yahoo and AOL use an app password, and GotEmail shows you where to make one.
- Add the rest. Repeat for each address. Server settings for the big providers are filled in for you; for any other IMAP server, type its details once.
- Open All Inboxes. Every account's inbox in one list. Each message shows which account it came from.
- Work through it together. Turn on Show Unread to see only what's new, star what matters, and put labels such as Work or Purchases on mail from any account.
Tips for keeping several inboxes calm
- Use labels across accounts. One Work label for work mail, wherever it arrives; click it to see everything it carries.
- Unsubscribe as you go. GotEmail shows Unsubscribe above mail from a mailing list. One click, and you're off it.
- Snooze what can wait. Put a thread away until tomorrow or the weekend; it comes back unread.
- Copy codes without searching. Sign-in codes show beside the subject, whichever account they reach. More in copy verification codes faster.
Questions
How many email accounts can I add to GotEmail?
As many as you like. Every plan includes unlimited accounts on all your Macs.
Can I mix Gmail, Outlook and iCloud?
Yes. GotEmail works with Gmail, Outlook.com, Hotmail, Microsoft 365, iCloud, Yahoo, AOL, Fastmail, Zoho and any IMAP account, all in one window.
Can I still see one account on its own?
Yes. Every account has its own place in the sidebar, with its folders. All Inboxes is there when you want everything together.
Will I get notifications for every account?
Yes. Every inbox stays live, and new mail from any account arrives as a notification, even with the window closed.
Does sending from the right address work?
Yes. A reply goes from the account the message came to, and when you write a new message you choose which address it's from.
